Using the Microsoft Authenticator App to Authenticate


User Context

I installed the Microsoft Authenticator app, now what? How do I use it to authenticate my account?

What if I don't have Internet connection? How can I authenticate my account when my mobile device cannot connect to the Internet?

Introduction

Once the Microsoft Authenticator App is installed and you've set up your account on your mobile device, you can start using it right away for Multi-Factor Authentication (MFA) and Self Service Password Reset (SSPR).

Use the Pop Up Notification from the App

With this method, you are presented with a number on your computer, and will enter that number into the Authenticator app on your mobile device.

This is the quickest and easiest (and therefore most common) method. However, if you are not getting the pop up, or if you do not have stable Internet connection on your mobile device, use the next method instead. 

  1. When you sign in, you will be presented with a random generated number to enter into the Microsoft Authenticator app, like this:

  2. A pop up notification should appear on the mobile device you set up the Authenticator App on. Tap the notification to open the authentication window to enter the number.

    • If you do not receive a notification right away, try manually opening the Microsoft Authenticator app.
    • Once the app is open, if you do still not see a prompt, try swiping down on the screen to refresh and check for notifications
    • You could also tap the menu icon (three dots at the top-right, or stacked hamburger on the top left, depending on your device) and select Check for Notifications.
    • If you still do not see a pop-up asking for the number, see the next section for how to use the app with the authentication code instead. 
  3. Type the two-digit number into the application on your mobile device and then tap Yes. This should log you in successfully.

Use the Verification Code

Use this method if you do not receive a pop up notification, or if you do not have a stable Internet connection on your mobile device.

  1. When you sign in, you will be presented with a random generated number to enter into the Microsoft Authenticator app, like this:
    Approve Sign In Request. Open your Authenticator app, and enter the number shown to sign in.
  2. Instead of typing in that number in the app on your mobile device, choose "I can't use my Microsoft Authenticator app right now."

  3. You will then be presented with other options to authenticate. Choose Use a verification code.

  4. Now, on your mobile device, open the Microsoft Authenticator app. On the Authenticator App home screen, tap on the account username to access the 6-digit verification code.
    • This method should work even when the mobile has no internet connection. 
  5. Type this six-digit number from the app, no spaces, into the computer or device you are signing into and then click Verify. This should log you in successfully.
