By booking and traveling on an itinerary offered Key West Travel & Tours and its suppliers, you are acknowledging and consenting to accept the following terms and conditions.

The prices stated are per person and are denominated in Canadian dollars. They exclude the Goods and Services Tax (GST). Please note that prices are subject to availability at the time of booking and are subject to change without prior notice.

Child rates for our Rocky Mountain Tours are available upon request.

Seating on tour buses is neither reserved nor assigned, while seating on the Rocky Mountaineer is assigned at the time of boarding.

Key West Travel & Tours highly recommends the purchase of cancellation/personal medical insurance. We urge you to contact your insurance provider for detailed information. It is your responsibility to ensure that you possess adequate insurance coverage.

When traveling within Canada, it is mandatory to carry at least one piece of photo identification that matches the name under which the booking was made. Please be aware that other suppliers reserve the right to deny boarding in the absence of sufficient identification.

Our accommodations consist of standard run-of-the-house rooms. Please note that Key West Travel & Tours cannot guarantee specific room or bedding types. However, in most cases, hotels can accommodate room requests when bookings are made well in advance.

Multi-day Tours: A maximum of 2 pieces of luggage per person total weight not exceeding 30 kg (66 lbs). No one piece of luggage may weigh more than 23 kg (50 lbs).

Rocky Mountaineer Rail carry-on restriction: A single overnight carry-on bag, not exceeding 60x41x25cm, may be carried onboard.

VIA Rail carry-on restriction: A single overnight carry-on bag, not exceeding 54x39x23cm, may be carried onboard.

Day Tours: Only a small carry-on bag is allowed.

Other suppliers may have different baggage restrictions. We recommend consulting your booking agents at the time of reservation and referring to your documentation for complete details on baggage allowances.

Meals will be provided during the tour only if explicitly mentioned. You may refer to your documentation for specific details regarding meal inclusions.

Gratuities for hotel porterage, any included meals, drivers, and guides are not included in the prices and are left to your discretion. Please note that mandatory gratuities are applicable for cruise tours and Rocky Mountaineer packages.

To confirm your reservation, a deposit must be received and processed at the time of booking. The specific deposit amount varies depending on the tour you have selected.

Tour packages include Rocky Mountaineer, VIA Rail or Cruises: Name change, date change, change of tour booked, level of service are considered cancellations and are subject to the penalties outlined below.

Motorcoach only tour packages: Name change, date change are permitted up to 1 month prior to departure for a fee of $100 + 5% tax per person subject to availability. Change of tour booked may be allowed up to 1 month prior to departure if the new tour value is higher than the original tour booked, subject to booking conditions at the time of change.

To initiate a cancellation, it is necessary to submit a written notification to Key West Travel & Tours. Please obtain written confirmation acknowledging the cancellation of your booking. For detailed information regarding refunds, if applicable, please refer to the Cancellation and Refund sections above.

Please note that on Rail & Coach tours, name/passenger substitutions are generally not allowed and will be treated as cancellations. However, suppliers may permit spelling corrections at their discretion.

Multi-day Tours and Rocky Mountain short excursions:
o 61 or more days prior to departure: Deposit payment is non-refundable upon booking
o 47-60 days prior to departure: 50% total tour package price including tax
o 0-46 days prior to departure: 100% total tour package price including tax


Multi-day Tours including a cruise:
o 91 or more days prior to departure: Deposit payment is non-refundable upon booking
o 76-90 days prior to departure: 50% total tour package price including tax
o 75 days prior to departure: 100% total tour package price including tax


Day Tours in Greater Vancouver, Victoria and Whistler :
o 8-15 days prior to departure: 50% total tour package price including tax
o 0-7 days prior to departure: 100% total tour package price including tax

Any eligible refunds will be issued through the original form of payment used for the booking. Please note that Key West Travel & Tours and its suppliers are not responsible for providing refunds due to circumstances beyond their control, such as airline delays, unused services, missed connections, or other unforeseen events.

To ensure accuracy and clarity, all bookings must be made in writing. We kindly request you to obtain a confirmation number for your reservation.

For bookings made with a credit card, it is a requirement that the credit card holder is included as part of the traveling party. In cases where the cardholder is not part of the traveling party, an authorization form must be completed and submitted to Key West Travel & Tours. This form should be accompanied by copies of the front and back of the credit card, along with an authorized signature.

By making a booking with a credit card payment, you acknowledge and accept the terms and conditions outlined herein, regardless of whether you have signed the sales draft. Please be aware that all credit card payments will be processed in Canadian funds.

Last-minute bookings are accepted based on availability. A credit card guarantee of full payment is required at the time of booking.

You will receive a written confirmation once full payment is received by Key West Travel & Tours. If your Rocky Mountain tours include a Rocky Mountaineer Rail journey, BC Ferries, or flights, documents may be sent to your travel agency or be available for pick-up at the

It is the responsibility of guests to ensure they possess the required paperwork and visas before booking and making payment for any tours. Key West Travel & Tours cannot be held responsible for guests who are denied entry into Canada or the United States due to insufficient documentation, other reasons, or inadmissibility. The standard cancellation policy will apply in such cases. 

Key West Travel & Tours retains the right to cancel, modify, or alter any or all aspects of the services if deemed necessary and appropriate. Unforeseen circumstances such as acts of God, traffic accidents, airport and road conditions may require adjustments and lead to interruptions. We will make every effort to minimize any inconveniences caused. However, please note that Key West Travel & Tours and its suppliers cannot be held responsible for any losses incurred due to such changes, and no refunds will be issued.

Key West Travel and Tours Ltd., its representatives, employees, agents, officers and directors, shall not be liable for any damage to person or property, loss, injury, expense, or loss of life that may be suffered by you arising from or related to the services provided by Key West Travel & Tours Ltd. It shall not be liable for any delay, disappointment, stress, frustration, loss of enjoyment, whether physical or mental, resulting from any involuntary, unintentional act or omission of Key West Travel & Tours Ltd., or its employees or contractors. 

Key West Travel & Tours Ltd. shall not be held liable for the services provided by bus lines, hotels, other tour companies, restaurants, attractions, and other independent parties during the tour. The liabilities of these entities may be subject to limitations as outlined in their respective tariffs, conditions of carriage, international conventions, and agreements.

Rocky Mountaineer and Armstrong Group will not be responsible for the performance of its service if prevented or delayed by Acts of God, strikes, accidents, weather, traffic, airport conditions or other causes beyond their reasonable control from meeting its terms. Nor will they be responsible for any loss or damage relating to train cancellations or any other cancellations. Rocky Mountaineer and Armstrong Group reserve the right to decline to accept or retain any person as a tour participant should such person’s behavior, health or mental condition be detrimental to the operation of the tour or to other passengers. Rocky Mountaineer and Armstrong Group are not liable for any expenses arising as a result of exercising this right.

Key West Travel & Tours shall not be held liable for any events or circumstances beyond our reasonable control, including but not limited to acts of God, pandemics, strikes, accidents, adverse weather conditions, traffic, or airport conditions. We will not assume responsibility for any loss or damage incurred in relation to services provided by other suppliers, such as (Pursuit) Brewster Transportation, Rocky Mountaineer, or VIA Rail, including train cancellations or delays. 

Additionally, Key West Travel & Tours reserves the right to refuse or remove any individual from the tour if their behavior, health, or mental condition poses a risk to the operation of the tour or the well-being of other passengers. In such cases, Key West Travel & Tours is not liable for any expenses arising from the exercise of this right.

Unless expressly authorized in writing by a representative of Key West Travel & Tours, no individual has the authority to alter any terms or conditions outlined in this document or on our website. Any claims against Key West Travel & Tours or its suppliers must be submitted in writing and received within 10 days from the date the services were provided to a passenger. Please be aware that all terms and conditions are subject to change without prior notice. 

Key West Travel & Tours is committed to protecting your privacy. Key West Travel commit to protecting your personal data in accordance with privacy laws and any other applicable legislation. We collect data about you when contact us directly, book a trip or travel with us, register as a travel agent, visit our websites.

Key West Travel & Tours will collect personal information through the Site when you complete the tour quote form, contact us form on our website or place an order. We collect the personal information in order to provide you with the information or service that you have requested.

During your use of our service, you may be asked to provide personal information such as your name, e-mail address, mailing address, telephone number, credit card information. If you do not wish to provide the information, this may affect your ability to use certain services, please contact us for more information.

Key West Travel & Tours’ website does not use cookies, however, its server automatically collects the following non-personally identifiable information from visitors to the website:

  • the date and time of the visit;
  • the sections of the Site you visit, as well as the pages read and the images viewed;
  • certain content that you download from the Site;
  •  if you were on another website before visiting the Site, the URL (web address) of that previous website, if it referred you to the Site;
  • the URL of the first website you visit immediately upon leaving the Site, if you were referred to that website by the Site;
  • the Internet Protocol (IP) address of the computer you are using; and · the IP address of your Internet Service Provider.

The information collected is aggregated and generic to provide information about search and booking patterns. The data is also used to help improve user online experience.

When communicating with Key West Travel & Tours, you personal information will only be used to facilitate a booking or an enquiry/requires. This includes:

  • Provide tour and travel agreement for your intended booking.
  • Update you on changes to your travel itinerary.

  • Facilitate/arrange various components of your travel.

  • Process payments for your booking and requests for refunds.

  • Provide information to emergency services or hospitals if you have an emergency and are not able to provide this information directly.

  • Respond to enquiries and special requests from you.

  • Communicate and interact with you before, throughout and after your journey.

  • Conduct customer satisfaction surveys.

  •  Manage our internal business operations such as accounting.
